Compensation Range: $50 - $60k
Reports to: Studio Area Manager at alts and the Director of Operations at Label
The VIP Customer + Showroom Coordinator at our LABEL showroom is a key position responsible for overseeing showroom operations, inventory management, shipping and receiving, and alterations processing. This role requires a detail-oriented and highly organized individual who can manage high volumes of garments, streamline operations, and ensure seamless client interactions. The position combines operational expertise with a focus on exceptional customer service for VIP clients, managing everything from garment processing to client bookings and feedback. Key responsibilities include maintaining showroom standards, managing inventory, coordinating alterations, and delivering outstanding service to clients, all while ensuring timely order fulfillment and optimizing operational efficiencies.
Responsibilities
Showroom Operations:
- Maintain a professional and welcoming office environment conducive to client interactions.
- Open and close the showroom daily, ensuring all areas are client-ready.
- Greet clients and assist with check-ins, pickups, and payments to ensure a seamless customer experience.
- Coordinate with the sales team regarding bookings and appointments to optimize showroom utilization.
- Track and manage office inventory, supplies, and purchases to ensure adequate stock levels in partnership with the Director of Operations.
- Manage supply inventory, conduct weekly counts, and order necessary supplies.
- Oversee showroom snack budget and source needed supplies from local and online vendors.
- Coordinate vendor visits (cleaning crew, internet providers, exterminators, etc.) to minimize disruption to daily operations.
- Answer and direct incoming calls, providing prompt support to clients and internal teams.
- Identify and implement process improvements to enhance operational efficiency.
- Facilitate VIP customer service, including personalized interactions, appointment coordination, and ongoing relationship management.
- Collect, organize, and track consumer feedback, day-to-day issues, and other relevant information to communicate with the team.
Inventory Management:
- Manage showroom inventory, including receiving, stocking, and organizing merchandise to maintain optimal product availability and presentation standards.
- Receive products, process them appropriately, and log them into the CRM system for accurate inventory tracking.
- Create and print labels, package items, and oversee outbound shipments to ensure efficient order fulfillment.
- Ensure all quality control checkpoints are consistently met for each garment entering or leaving the showroom to uphold quality standards.
- Maintain inventory records and monitor aging garments, conducting regular audits to identify discrepancies and ensure accurate inventory management.
Shipping & Receiving:
- Process and manage all incoming garments (80+ packages/month, 300-700 garments/month) by unpacking, quality checking, processing, and checking items into CRM.
- Organize and store garments, including steaming, re-labeling, repackaging, and sorting for easy access.
- Maintain accurate records of inbound shipments and processing timelines.
- Process all outgoing shipments (150+ packages/month), including final QC, packaging, printing labels, and coordinating couriers.
- Track and log all shipments in CRM, ensuring clients receive tracking updates.
- Raise support tickets for lost or delayed packages and follow up as necessary.
- Manage remote office inventory, ensuring proper identification and check-in of garments.
Alterations Management:
- Oversee all LABEL and Alts VIP alteration requests, processing over 100 garments per month with an estimated value of $25k in alterations.
- Act as the liaison between clothiers and tailoring teams to ensure precise execution of alteration requests.
- Act as the liaison between Alts production center and Alts VIP TSM to ensure precise execution of alterations requests
- Monitor and manage alteration timelines, outsourcing garments as needed to meet deadlines.
- Conduct garment district runs 2-3 times per week for sourcing buttons, zippers, and other necessary materials.
- Perform final QC on completed alterations, check garments into CRM, and notify clothiers and/or client accordingly.
Alts VIP Customer Service:
- Warm and on-brand customer communication across emails, calls and ad hoc in-person work.
- Maintain a professional, warm, welcoming office environment
- Answer all inbound calls to the VIP Alterations department
- Manage all client bookings and appointments for VIP clientele
- Thoughtful interaction with each client
- Collect, organize, and track consumer feedback, day to day issues and other relevant information and communicate this to the team
- Connect thoughtfully with our VIP clientele and develop individual strategies to nurture these important relationships.
- Contribute ideas to company policies to create an even better customer experience.

Experience
- Bachelor's degree in Business Administration, or a related field; relevant experience may be considered in lieu of a degree.
- Proven track record of success in retail operations management, preferably in the fashion or apparel industry.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams and external partners.
- Knowledge of inventory management principles and experience in managing inventory levels, stocking, and merchandising. Must be able to lift packages up to 40lbs
- Familiarity with alterations processes and experience coordinating alterations services for clients.
- Proficiency in G-Suite and familiarity with retail management software is preferred.
- Flexibility to work evenings, weekends, and holidays as needed.
This is an entry level role and reports to the Director of Operations at LABEL and to local Studio Area Manager at alts
